Duties and Essential Job Functions:
- Ensures that accurate inventory is conducted on a daily basis for ordering and financial purposes.
- Compares inventory records against physical count of inventory and makes adjustments to or investigates inaccuracies.
- Checks stock each day for expired product, over or understocking and takes action to reduce loss or shortages
- Physically works to receive, rotate, distribute, and monitor stock. Utilizes physical human effort and facilitate resources efficiently and effectively.
- Checks to ensure quality, quantity, and cost of all vendors/purveyors deliveries. Accepts or rejects deliveries based on policy and standard operating procedures. Reports vendor deficiencies.
- Coordinates purchases for interdepartmental and intradepartmental customers by interacting with external businesses (e.g. vendors, agencies, delivery companies, etc.).
- Must be a good steward of all JPS resources.
- Responsible for the assuring the cleanliness of the storeroom area(s) and walk-in cooler(s)/freezer(s).
- Ensures that temperature logs/systems will be used in accordance to the HACCP/department policy.
- Adheres to and enforces safety and sanitation guidelines at all times.
- Answer phones, record and deliver messages. Uses e-mail, computer programs computer and other electronic devices to achieve goals and meet standards.
- Compiles and maintains inventory records of the quantity, costs, and type of materials, equipment, merchandise, or supplies stocked in the organization. Maintains department inventory lists to include assets, expendables, and other related materials.
- Assists in developing and implementing all policies and procedures when needed.
- Leads the work of the Materials Clerk team to include assigning delivery, receiving and cleaning tasks. Coordinates assignments of staff and/or information, as requested by management team.
- Measures, evaluates and reports performance of Materials Clerks to Purchasing Manager.
- Trains other Materials staff in product handling techniques, safe food handling methods. Ensures standards are being followed/maintained.
- Checks the work of the Materials Clerks to include inventories, check out sheets and other paperwork.
- Collaborates with Sous Chef and Executive Chef in addressing needs for patient meals, patient floors and cafeteria meal services.
- Provides and demonstrates good customer service behavior in the conduct of daily work interactions. Provides point of contact for internal and external customers.
- Acquires materials or supplies and places orders, inventories, receives, and distributes. Reviews, and tracks purchases through the purchasing process. Maintains appropriate stock and/or inventory levels in order to facilitate and sustain the successful operation of the Nutritional Services Dept.
- Must identify and report malfunctioning equipment to management for repair.
- Performs other related duties as assigned.
Required Education and Experience:
- High School Diploma or GED.
- 2 plus years’ work experience ordering, inventory, receiving, and/or distributing materials/supplies.
Required Licensure/Certification:
- Must have a current City of Fort Worth Food Handler’s Certification. (Obtain within first 30 days).
Preferred Education and Experience:
- Experience with healthcare supply chain and/or materials management preferred.
Preferred Licensure/Certification:
- Must have completed an American National Standards Institute (ANSI) accredited Food Handler’s Certificate Program (i.e. Serve Safe)
Knowledge, Skills & Abilities:
- Knowledge of use and care of storeroom equipment, pallet jacks, dollies, carts, power washer, etc.
- Skill in leading, instructing and guiding others in proper receiving and distribution techniques and food safety principles.
- Ability to have key conversations at key times.
- Ability to demonstrate excellent customer service and leadership skills.
- Ability to deal effectively with supervisory and non-supervisory personnel as well as patients and visitors.
- Ability to continuously stand and walk; frequently stoop, reach, push, pull and bend.
- Knowledge of inventory controls (e.g., receiving supplies, pulling items from storage, and stocking storage and service areas).
- Knowledge of materials standards and regulations.
- Knowledge of inventory methods specifically FIFO.
- Knowledge of and ability to perform basic computer skills.
- Skill in both written and verbal communication.
- Skill in managing and maintaining records and reports.
- Skill in attention to detail and ability to handle multiple situations at one time.
- Ability to push carts with pushing force less than 50 lbs.
- Ability to lift and carry up to 50 lb. boxes of supplies and/or other items.
- Ability to record and file data appropriately.
- Ability to read, write, and follow verbal and written direction.
- Ability to prioritize work and meet deadlines.
Physical Requirements:
- Visual acuity to read information from computer screens, forms and other printed materials and information.
- Able to speak (enunciate) clearly in conversation and general communication.
- Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
- Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
